In order to get a correct payroll slip and a monthly export file to external salary system. We have done the following improvements.
Work shift
A work shift is planned either in shift schedule, daily planning or with Avista AI. Planner add one or more break to a shift. Breaks are deducted as non paid time from workshift and summarized in ”confirmed break” in workshift follow up.
Lunch/Break in Workshift confirmation
A break can be added in shift schedule either as a duration e.g 00:30 or as a specified time period 12:00-12:30. If it is specified time then it is considered when Avista calculate un social time benefits. A more flexible way is to use ”break orders”. It means that a break order is visible in daily planning and in order list in the mobile phone. This gives the planner a greater flexibility to tell a user when a break is most suitable according to customer plans. Planner must add an activity hierarchy in ”activity settings”, then you can add various types of orders that will be deducted from work hours. It should look like this: ”Orders deductable from workshift” and must have the shortname code ”567890WS”
Work shift confirmation – Simplified in two processes
a) Workshift confirmation
Select user/workshift confirmation. Select a workshift and click confirmation. Then you will see a window like below.
”Total confirmed time 08:15 (00:30 lunch)”. 8:15 minutes is sent to payroll slip and exported to external salary system
b) Advance workshift confirmation
If you want to process several workshift in in one go. Then you select ”advance work shift confirmation”. Now you can look at the workshift in a six ways
a) all staff that came late to planned workshift
b) all staff that went home earlier than planned end
c) cofirm 3 types of summarized breaks 1) from shift schedule, 2) from planned ”break orders”, 3) from reported ”break orders”
d) reported absence reported by planner or in myAvista app
e) automated started workshift when first customer dilevery appears
f) time bank, confirm time that is going to be used as ”time bank” (Only for staff that has agreed flexible hours”
